Introduction to Analytics Insights for Confluence

The new app Analytics Insights from Spectrum Groupe comes to enlarge our set of Confluence apps and to help decision makers have a clear view on Confluence activity. Now you can get into the finer details of your Confluence usage with invaluable data and insights. 

Have an eye on users behavior and transform it into numerical data which helps you improve your user experience within your instance.


Analytics Insights - Space Administrator User Guide 


Space information


Space information feature let you enrich confluence space information in addition to system oriented details.

The entry of these information will be through a form that is displayed each time the administrator visits an existing space before the app's installation, or directly after the creation of a new space.


1 - Space information form 


The appearance (enable/disable) of this form as well as the fields (required/not required) are configurable via the plugin configuration (more details here : Plugin configuration)

 Fields description : 

  • Name : the space's name.
  • Managers : the space's principal point of contact, list of users ((warning)max 3) that will be put in a group "<space key>-managers" with administrative permissions in this space.
  • Audience : space's type which could be 
    1. Public : visible for all confluence users.
    2. Privatevisible only for list users and space's managers.
  • Users : this field will appear only if the space audience is selected as Private, it represents list of users (unlimited) that will be put in a group "<space key>-users" with same confluence-users permissions in this space.
  • Sensitivity : space sensitivity could be 
    1. Open
    2. Internal
    3. Confidential 
  • Description : the space's description.
  • Categories : the space's labels .
  • Expire on : the space's date of expiration.

All the form's fields are editable.



2 - Space information page

After saving the space information form, a page will be created under the name "Space Information" containing the label "space-information".

Only space managers and the page creator will have the permission to :

    • edit this page via the button edit space information or the edit mode.
    • edit space description.
    • edit space labels.


3 - Space information macros

Edit space info

Via the button edit space information in the top of the space information page, all fields could be edited.

Only space managers and the page creator can edit this macro.

Space name

This macro represent the space's name




Space description

This macro represent the space's description.

The space description could be edited via :

    • space information pop up (add / edit)

    • space information page

    • space overview page



Only space managers can edit this macro.





Space categories

This macro represent the space's categories (labels)

which could be edited via :

    • space information pop up (add / edit)

    • space information page

    • space overview page


Space managers

Represent the space managers group which has the absolute space permission (more details *).

The count of managers cannot exceed 3.

Space audience

The space could be

    • public : any confluence user has the right to visit the space.

    • private : the space will appear to the selected managers or user (more details * )

Space sensitivity

The space could be selected as :

    • Open

    • Internal

    • Confidential

Space expiration date

The space administrator could choose the space's expiration date


4 - Space information permissions

  • If the space is marked as Private, Confluence-users will be not allowed to access it.
  • Two groups will be created with a name starting with the space key concatenated with the group's type(managers or users).
    1. <space-key>-managers: represent the group of space managers having the absolute permissions to this space (same permission as Confluence-administrators group)
    2. <space-key>-users: represent the group of space users who have the permission to access this space (same permissions as Confluence-users group).

Space insights

After creating the space and manipulating its information page now it's time to enter the Space Insights menu to track page views and get analytics reports.










1 - Space usage  

  • The default value of all space usage metrics is calculated from a date extending from the first day of the current year without counting the active day.

  • Space usage metrics are classified into 2 categories: Engagement and Participation.

  • Usage metrics could be filtered by start and end date (date picker).
  • Usage metrics could be filtered by date navigation: Today, Yesterday, Last week, Last 7 days , Last month, Last 30 days, This year or Last year.


(blue star) Engagement 




New Comments

  • Represents the count of content's comments.

  • Could be filtered by date period.



Watchers 

  • Represents the count of users who performs an action of observation in the space.
  • Action observation (watching) could be :
    1. tag content (page/blog) as watcher .
    2. create content : by default any content creator is considered as watcher.
  • Could be filtered by date period.




Interactions

  • This metric is the count of space's interactions.
  • There are 2 type of interaction :
    • like content
    • comment content
  • Could be filtered by date period.

Space content can be either a page or a blog post.

Engaged Users

  • This metric is the count of users who performed an interaction action (like / comment)on space's contents.
  • Could be filtered by date period.

Interaction trend 

  • This chart represents the count of comments and likes within the selected space per date.
  • The default grouping is set by month and changeable to week or day
  • Could be filtered by date period.
  • The chart can be exported.

Most commented pages 

  • The list shows by default 5 pages sorted in an decreasing order and it shows :
    1. Page title 
    2. Number of comments in each page
  • Could be filtered by date period.

Most liked pages 

  • The list shows by default 5 pages sorted in an decreasing order and it shows :
    1. Page title 
    2. Number of likes in each page
  • Could be filtered by date period.

Top Engaged users

  • The list shows by default 5 contributors sorted in an decreasing order and it shows :
    1. User avatar and name
    2. Number of contributions per user.
  • Could be filtered by date period.

Activity trend 

  • This chart represents the count of space's contributions per date.
  • Contributions can include 4 actions which are creation, update, comment and like.
  • The default grouping is set by month and changeable to week or day..
  • Could be filtered by date period.
  • The chart can be exported.


(green star) Participation 

New pages

  • This metric represent the count of created pages in the space.
  • Could be filtered by date period.

New blogs

  • This metric represents the count of created blog post in the space.
  • Could be filtered by date period.

Contributions

  • This metric is the count of space's contributions.
  • There are 4 type of contribution :
    1. Creation content
    2. Update content
    3. Comment content
    4. Like content
  • Could be filtered by date period.

Contributors

  • This metric is the count of users who performed a contribution action on space's contents.
  • Could be filtered by date period.

Content trend 

  • This chart represents the count of space's contents creations and updates per date.
  • The default grouping is set by month and changeable to week or day.
  • Could be filtered by date period.
  • The chart can be exported.

Most shared pages 

  • The list shows by default 5 pages sorted in an decreasing order and it shows :
    1. Page title 
    2. Number of shares in each page
  • Could be filtered by date period.

Top Contributors 

  • The list shows by default 5 contributors sorted in an decreasing order and it shows :
    1. User avatar and name
    2. Number of contributions per user.
  • Could be filtered by date period.


 Custom metric


  • In addition to the basics Analytics Insights metrics, this plugin will give the space administrator the chance to create his own metrics which is based on label, so he can track the count content.
  • Once the space administrator click on add new metric, a pop up window will appear with these fields to fill: 
    1. Metric Name
    2. Label
    3. Lever : option are engagement or participation.
    4. Icon
  • Custom metrics could be edited or removed.
The metric's name and the metric's label is unique, so if the space administrator enters a name or label which is already used an error message will appear.



2 - Space Governance   


  • Space governance metrics are classified into 2 categories:

Content in Confluence could be a page, a blog post , an attachment … 

(green star) Groups metrics: encompasses space's groups information.




(blue star) Content 


Published pages 

  • Represents the global count of created pages in the space.
  • Deleted pages are not included.

Comments 

  • This metric is the count of all comments in the space.
  • Deleted pages are not included.

Attachments

  • This metric represents the count of space's attachments.
  • Deleted pages are not included.

Used Data

  • It counts the sum of the size of each uploaded attachment in the space.
  • The unit of measure will be in Mo relative to the size of the space chosen from the plugin configuration interface.
  • Deleted attachment are not counted.

Last edition date

  • It is the date of the last modification in the space's contents.
  • The date of edition could be last modification date in space contents or also last creation date if there is not a modification that followed the last content's creation date.



Contents information

  • Contents in this metric are limited to pages and blog posts (Attachments information will be detailed in the attachments information metric).
  • The contents information table includes:
    1. Page : content's title.
    2. Size : size of attachments in this content.
    3. Attachments : count of attachments in this content.
    4. Comments :  count of comments in this content.
    5. Version : version of this content (the version increments +1 with each modification).
    6. Creation date : content's creation date.
    7. Last edition date : content's last edition date.
    8. Children : count of children (children tree).
  • This metric is sort-able, it displays by default 20 contents ordered by last modification date

Attachments information

  • Space attachments information table includes:
    1. Attachment : attachment's title.
    2. Type : attachment's type that could be "odt","doc", "docx", "ods", "xls", "xlsx", "odp", "ppt", "pptx", "pdf", "jpeg", "png", "gif", "zip", "gzip", "mp4", "mp3", "avi" and other type will classified as "other".
    3. Last version size : the size of last version.
    4. Total size : the total size.
    5. Creation date : attachment's creation date.
    6. Last update : attachment's last edition date.
    7. Nbr Versions : count of versions.
  • This metric is sort-able, it displays by default 20 attachments ordered by last version size




(green star) Groups 


Groups in this spaces

  • Represents the global count of groups in the space.

Users in this spaces

  • Represents the global count of users in the space.

Users in this spaces Individual access

  • Represents the global count of individual access to the space.

Contents information

  • By default the group Confluence-users will be associated to any created spaces.
  • Space administrators could change the groups and users space permissions.
  • The option "Space Audience" helps space administrators to better control the space permissions.
  • The groups information table includes:
    1. Group :  group's title.
    2. Number of users : count of user for each group.
    3. Access type : type of access could be Read, Comment, Write and Admin.

  • This metric is sort-able, it displays by default 20 contents sorted by a decreasing order.



Analytics Insights - Confluence Administrator User Guide 


Plugin Configuration 

This feature is available only for Confluence administrator, who can configure the Analytics Insights settings.

  • Once the app is installed a default configuration will be created :

1- The feature space information is enable.

2- All space information fields are required.

3- The max space size will be fixed 1 Go.

  • Enable / disable space information :

1- If enabled, add space information form will appear in each space which has not the space information page.

2- If disabled, the space information pop up will never appear, and space information macros will be broken.

  • Select required fields for space information form :

1- This section will appear only if the space information is on.

2- It make confluence administrator choose the fields which will be required or not in the space information pop up.

  • Select all spaces max size :

1- Confluence limits the space size to 2 Go.

2- The space size is equal to the size of the space's attachments.

3- For this reason we give Confluence administrator the chance to choose his/her space size from 0 Go to 2 Go.






Governance metrics 




  • This feature allows Confluence administrator to have a global view about spaces and groups in the instance.
  • The default value of all governance metrics is calculated from a date extending from the first day of the current year without counting the active day.
  • Governance metrics are classified into 2 categories:

    (blue star) Spaces metrics: encompasses platform's spaces information.

    (green star) Groups metrics: encompasses platform's groups information.






Spaces created in this period 

  • Represents the global count of created spaces in the platform.
  • Archived spaces are counted while deleted spaces are not.

  • Could be filtered by date period.

Spaces archived in this period 

  • Represents the global count of archived spaces in the platform.
  • Could be filtered by date period.




Spaces information

  • The spaces information table includes:
    1. Space : space's name.
    2. Key : space's key.
    3. Pages : count of pages in the space.
    4. Attachments : count of attachments in the space.
    5. Attachments size (Mo): size of attachments in the space.
    6. Labels :  list of space's categories.
    7. Created : the date of creation.
    8. Modified : the last edition date (it could be creation or modification of space's content).
    9. Space Managers : list of space's managers.
    10. Sensitivity : the type of sensitivity chosen for this space.
    11. Expiration date : the chosen date of expiration for this space.
      If the date of expiration has exceeded the current day, a red alert (error) will be displayed next to the date and if it lasts 30 day or less it will be yellow alert (warning).
    12. Space info : Yes/No value that indicate if the space information form is filled or not.


  • It displays by default 20 spaces ordered by ascendant creation date
  • Could be filtered by date period.

(tick) Option filter by manager : 

Analytics Insights gives the Confluence administrator the chance to filter space information table by manager which is indicated in the space information feature.

(green star)Groups 



 Groups 

  • Represents the global count of created groups in the instance.
  • Archived spaces are counted while deleted spaces are not.
  • Could be filtered by date period.

Groups with less than 2 users

  • Represents the global count of created groups with less than 2 users in the instance.
  • Could be filtered by date period.

Unused groups

  • Unused group is a group which is not used in any of the instance's spaces.
  • Could be filtered by date period.

Groups information

  • The table includes all instance's groups information: 
    1. Group : group's name.
    2. User number : count of users in the group.
    3. In(spaces) : the number of spaces used by this group.
  • It displays by default 20 groups ordered by descendant number of users
  • Could be filtered by date period.
